Permanent Court Time

Permanent court time contracts are available for the 2013-14 season. Permanent court time allows members the opportunity to reserve weekly court time for a defined contract length; helping to make certain your court is secure when you and your group want to play. It will eliminate the need to call in and hope a court is still available at the time you want, and allow for quicker entry onto the courts and less hassle at the front desk!

Permanent court time will be limited and filled on a first come, first serve basis. Therefore, it is very important for you to get with your team or group to determine when you want to play.

We are offering three contract lengths for permanent court time only:

- Fall + Winter contracts will run from September 23, 2013 - April 27, 2014

- Fall only contracts will run from September 23, 2013 - December 21, 2013

- Winter only contracts will run from January 6, 2014 - April 27, 2014

When to submit an application:

- Applications for Fall+Winter contracts will be accepted beginning August 12, 2013

- Applications for just the Fall season will be accepted beginning September 3, 2013

- Applications for just the Winter season will be accepted beginning December 2, 2013

Applications received before the posted "acceptance date" will not be considered. You may mail or drop off an application in person, or email to pdunlop@umich.edu.


Terms & Conditions

Contractual Commitment: Your signed application for Permanent Court time, on a specified day and time is considered a binding contract and you are financially obligated for the court time during the entire length of the contract. We regret that the inability of a group to coordinate its players to its contracted time period will not allow release from this contract.

Application: Each group is responsible for appointing a captain. All correspondence is channeled through the group captain. The captain should submit one application per group. All participants must be current members. An application fee is not required this season.

Booking length: PCT will be available for either 1, 1.5 or 2 hour bookings.

Participation: PCT contracts can be made between a minimum of one [1] or maximum of four [4] members. For example: the total court fees can be split among a maximum of four [4] members. Note: anyone may participate in your Permanent Court time if they hold a current U-M Varsity Tennis Center membership or pay a guest fee each time they play. Guest fee is $10 per guest, per visit.

Exception Dates (Black Outs): Permanent court time contracts will NOT include dates during which the facility is closed or unavailable due to varsity contests. See below for a full list of exception dates.

Member/Group Cancellations: Although we will NOT change the length or exclude specific dates from a contract, you may notify us in advance to put your court time up for sale. It then becomes available for other members to book as random court time. If sold, you'll be credited the court fee, i.e. we'll either reduce your next payment amount or credit your account to be used for future bookings (spread evenly among all contract participants).

Cancellations by VTC: Although not expected, the Varsity Tennis Center reserves the right to cancel all reservations (including permanent court time) for unforeseen varsity team or maintenance needs. If canceled by VTC, you'll be credited the court fee and given an additional $10 house credit for the inconvenience.

Billing Option 1, No additional fee (same as random court rates): 50% of the contracted total cost will be due within ten [10] days of a confirmed application or on your first day of play, whichever occurs first. For example, if you submit an application for Fall + Winter PCT on August 17 and we confirm availability of your requested day and time on August 20, 50% of your total fee will be due on August 30. The remaining 50% will be due according to the following schedule:

Billing Option 2, $2/hour additional fee over random court rates: instead of paying the total contracted cost fee in two installments (as in option 1), groups may pay week-to-week for a $2/hour premium surcharge. Contract will still be made between a maximum of four members and those members will be responsible for any unpaid court fees.

Frequently Asked Questions

Q: I like the idea of Permanent Court Time (PCT), but I don't want to sign up for such a long time period. Can I reduce the contract length?

A: Unfortunately, no. We are offering three defined contract lengths only; these lengths cannot be modified (either shortened or lengthened).
Q: How many people can participate in a PCT contract?

A: Contracts can be made between a minimum of one [1] or maximum of four [4] members. This means the total court fees can be split among a maximum of four [4] members and each would be responsible for their portion of the overall fee.

Note: anyone may play with you or your group during permanent court time reservations, if they hold a current membership or pay a guest fee each time they play. In other words, it's not just limited to the members who split the fees on the contract!
Q: What if I/we can't play on any given date included in the contract?

You may contact the VTC front desk with as much or little notice as you like and request we put your court up for sale. Obviously the more notice you give us, the more likely your court is going to be sold to another member looking for random court time. If we are able to sell your court, you'll be credited the full court fee by either reducing your next payment amount or crediting your account to be used for future bookings. The credit will be split evenly among all members on the contract (if applicable).
Q: How many courts will be available for PCT at any one time?

A: No more than four [4] courts will be booked for PCT at any given time. We have a total of eight [8] indoor courts.
Q: How will you prioritize requests for PCT?

A: Groups that held PCT contracts in 2012-13 will receive highest priority. After that, we will prioritize requests on a first come, first serve basis. Applications for the longer "Fall + Winter" contracts will be accepted first and therefore given priority over shorter "Fall only" or "Winter only" contracts.
Q: How will varsity matches and practices impact PCT?

A: Although not expected, we reserve the right to cancel all reservations (including permanent court time) for unforeseen varsity team needs. If cancelled by VTC, you'll be credited the full court fee and given an additional $10 house credit for the inconvenience. The house credit can be used for court time and guest fees only; it cannot be used for concessions or merchandise.

Varsity matches will be listed as blackout dates and therefore not included in your contract. Visiting team practice needs will also be included as blackout dates when necessary.
Q: What if I change my mind or suffer an injury or illness and cannot participate in physical activity?

A: All payments will be non-refundable. However, if you replace a member on the contract before the next installment date, he/she can assume responsibility for that portion of the overall fees. If not replaced, the other members will absorb any remaining balance.
Q: I can't afford to prepay 50% of the contract total up front. Will you offer a different payment plan?

A: Yes. In response to popular demand, we are happy to offer two different payment options.

Option 1: Pay the same rates as random court time. We will require 50% of the total within ten days of a confirmed contract or your first day of play (whichever occurs first). Similarly, failure to pay the remaining 50% balance before the published due date will nullify your contract.

Option 2: pay week-to-week at the time of check-in for an additional $2/hour fee. The court will be booked under the contract holders' names, but anyone may participate and simply pay the court fee each visit. In other words, you're paying more for the privilege of week-to-week payments. The contract holders will ultimately been held responsible for all court fees.
Q: How will permanent court time contracts affect my ability to get a random court reservation?

A: One of biggest benefits of PCT is eliminating the need to call-in and hope a court is available on the day and time you want to play. Obviously the more PCT requests we receive, the less court time will be available for random court reservations. However, no more than four [4] of our eight [8] indoor courts will be booked for PCT at any given time.
Q: Will instructors be able to participate in permanent court time?

A: No.
